Before you begin: Try these first — restart your printer, restart your computer, and check that all cables are firmly connected. These three steps resolve about 40% of printer problems.

🔴 Printer Shows "Offline" — How to Fix It

Your printer appears as "Offline" in Windows or macOS even when it's powered on and connected.

  1. Turn the printer off, wait 30 seconds, and turn it back on.
  2. On Windows: Open Settings → Bluetooth & devices → Printers & scanners. Click your printer, then click Open print queue.
  3. In the print queue, click Printer in the menu bar and uncheck Use Printer Offline.
  4. If still offline, right-click the printer, select See what's printing, then cancel all pending jobs.
  5. Restart the Print Spooler: Press Win+R, type services.msc, find Print Spooler, right-click and choose Restart.
  6. If using WiFi, make sure the printer and computer are on the same network. Reconnect the printer to WiFi if needed.
  7. Remove the printer from your system and add it again using Add a printer or scanner.

📄 Paper Jam – How to Clear It Safely

Paper jam errors can be caused by misloaded paper, debris inside the printer, or worn rollers.

  1. Turn the printer off before attempting to clear the jam to avoid damage.
  2. Remove the paper tray and pull out any paper from the input tray.
  3. Open the rear access door (if your printer has one) and gently pull jammed paper straight out — never yank sideways.
  4. Open the front cover or cartridge area and check for small torn pieces of paper.
  5. Look inside with a flashlight for any foreign objects or scraps.
  6. Reload the paper tray with fresh, flat paper. Fan the sheets before loading to prevent feeding issues.
  7. Turn the printer back on. If a jam error persists with no paper inside, restart the printer twice.

🪄 Printer Prints Blank Pages

Blank pages are usually caused by clogged print heads, empty or incorrectly installed cartridges, or a software glitch.

  1. Remove ink cartridges and check that they still have ink. Reinstall them firmly until they click.
  2. Run a Print Head Cleaning from your printer's utility software (printer setup app, printer setup app, Smart Panel).
  3. Print a nozzle check pattern to see which nozzles are clogged.
  4. If using new cartridges, remove the protective tape on the cartridge contacts and gold strip.
  5. Cancel all print jobs and restart both the printer and computer.
  6. Update or reinstall the printer driver from the manufacturer's website.
  7. If the print head cleaning doesn't work after 2–3 cycles, the print head may need manual cleaning or replacement.

🖊️ Ink Cartridge Not Recognized

The printer displays an error like "Cartridge cannot be recognized" or "Incompatible ink cartridge."

  1. Remove the cartridge and clean the copper contacts on the cartridge and inside the printer with a dry lint-free cloth.
  2. Reinstall the cartridge firmly — it should click into place.
  3. If using a refilled or third-party cartridge, try an official OEM cartridge. Some printers block non-OEM ink via firmware.
  4. Check if the printer has received a firmware update that blocks third-party cartridges. On printers, you can roll back firmware via printer setup app settings.
  5. Turn the printer off, remove all cartridges, wait 2 minutes, reinstall and power back on.
  6. If the error only appears on one cartridge slot, that slot's contacts may be damaged. Contact manufacturer support.

📶 Printer Keeps Disconnecting from WiFi

The printer drops off the network regularly and must be reconnected frequently.

  1. Give the printer a static IP address so it doesn't change. Do this in the printer's network settings menu under "Manual IP".
  2. Place the printer closer to the router or remove obstacles between them.
  3. Restart your router, wait 1 minute, then restart the printer.
  4. Check the router's DHCP lease time — set it to "permanent" or very long for your printer's MAC address.
  5. On the printer, go to WiFi Setup → Restore Network Settings and reconnect to your network from scratch.
  6. If your router uses both 2.4GHz and 5GHz bands, connect the printer to 2.4GHz — it has better range and is more compatible.

⏳ Printer Is Printing Very Slowly

Print jobs take much longer than expected, especially for simple documents.

  1. Open Printer Preferences and change print quality from "Best" or "High" to Normal or Draft.
  2. Turn off color printing if you only need black and white.
  3. In printer preferences, turn off Quiet Mode or Eco Mode if enabled — these slow print speed.
  4. Clear the print queue of any stuck or large jobs from previous sessions.
  5. Make sure the printer is not set to print using a network path if you're connected via USB — this adds latency.
  6. Restart the Print Spooler service (see Offline fix above).
  7. Update the printer driver — old drivers can cause slow spooling.
